1. Identify the product clearly

Include the product name and, where available, the sequence or your internal reference. State any required modifications or format. If a detail is still undecided, flag it as a question rather than leaving the supplier to assume.

2. Separate specifications from quantities

Describe the specification you are requesting separately from how much you need. This makes it easier to compare the response with your original brief.
